PaperlessCloser Lets SafecoTexas Do More, Do It Better, Makes It Easier, and See The Value

SafecoTexas, formerly Safeco Land Title of Dallas, is one of the nation's largest full-service independent title agencies. Founded in 1979 and based in Dallas, Texas, SafecoTexas is an issuing agent for most of the nation's largest title insurance underwriters. As a result, SafecoTexas is able to provide in excess of $230,000,000 in statutory single risk title insurance.

Safeco has been a RamQuest Software customer and using Complete Closing Enterprise for approximately five years. Safeco currently has over 160 users running Complete Closing Enterprise in a wide area networked environment.

Based on Safeco’s experience to date with PaperlessCloser, here are some benefits that Safeco has already seen:

Reduced Document Printing Costs. In 2002, Safeco delivered approximately 3000 commitments to customers via PaperlessCloser, as well as many HUDS and other title documents. Commitments averaged about 12 pages each, and HUDs 2-3 pages each. This equated to approximately 50,000 pages that would have otherwise been printed. Safeco has realized a savings in paper, toner, printer use time, and additional labor time to produce the printed documents.

Reduced Faxing Costs. Reduced phone costs for faxing and re-faxing documents. Less labor time to fax, or wait in line to manually send faxes.

Document Mailing and Courier Costs. Documents posted for pickup via PaperlessCloser are immediately available to customers through their web browser. No mailing or courier costs are incurred for documents handled via PaperlessCloser.

Fewer Phone Calls from customers checking the status of title orders. Since customers can now check the status of any order immediately, any time, Safeco takes fewer calls for order status checks. This saves Safeco’s people time every day, and has also improved satisfaction with Safeco’s customer service.

Labor Time Savings / Increased Productivity. Safeco estimates that each person in her office involved with document production saves approximately 1 hour per day because of PaperlessCloser.

Attorneys with access to orders through PaperlessCloser save time preparing documents for banks. PaperlessCloser displays legal descriptions on the Property tab within the attorney’s browser, which can then be easily copied and pasted into their own documents. This can save the attorneys a tremendous amount of time having the legal descriptions and other information re-keyed.

Many Safeco customers are excited about the ability to add their own documents to title orders directly through Safeco’s PaperlessCloser website. Documents submitted to Safeco through PaperlessCloser are directly tied to the title order in Complete Closing. All information is stored and accessible in one place. No longer is there the possibility to have documents “stuck” in someone’s email inbox while they are out of the office or on vacation.

PaperlessCloser as a “Marketing Tool”. Safeco also uses PaperlessCloser as a marketing tool to attract new customers, especially those who are now requiring ways to share documents and other title order transaction information electronically. Safeco also uses PaperlessCloser as a means to schedule valuable “face time” with existing customers and to highlight their position as an industry leader through the use of valuable and beneficial state-of-the-art technology.

Tracking and Status Events within Complete Closing’s workflow and order tracking, as well as the Due Date reports, enable Safeco’s people to more proactively manage their day-to-day work.

Keeping up with the quality of information posted for clients to access via PaperlessCloser is critical for customer satisfaction with the whole PaperlessCloser concept and process. Task items must be marked off as completed. Orders must be forwarded to the right people in a timely manner. Documents must be correct.
